Last updated: 2026-04-16 Owner: Product Writer Audience: manager, hr_admin, tenant admin, owner
Purpose
Explain how to use the Approval Center to manage requests, timesheets, travel reimbursements and other workflows that require validation.
Prerequisites
- you have a role with approval permissions
- you have at least one item in queue or access to historical lists
- you are working inside the correct tenant
What you can approve
Depending on your role and the tenant permissions, the module can include:
- vacation and leave requests
- team timesheets
- travel and expense reimbursements
- other enabled tenant workflows
Operational steps
- Open
Approval Centerfrom the left menu. - Work from the
Decision queuefor the active period. - Use
Filter results,Module, andPriorityto narrow the filtered queue. - Open the record details on the right or use the quick actions directly from the list.
- Approve, reject, or request changes.
- Verify that the status is updated correctly.
How to read the module
Filter resultsis a live filter on the queue for the active period: it is not a global search and does not need a search button- long queues are paginated: you can move between pages or increase the number of items per page
Select all filtered resultsworks on the whole filtered queue, even when the list spans multiple pages- the
Apply one decision to multiple itemsblock becomes active only after you select one or more queue rows - if the active-period queue is empty, filter and bulk controls stay inactive to avoid misleading affordances
- the right-side detail panel is where you review the selected item context and take the single decision without losing the queue
- queue items can be
SubmittedorResubmitted:Resubmittedmeans the submitter already corrected the case after a previous request for changes Request changessends the workflow back to the submitter without closing it- a note is required for both
RejectandRequest changes - when a case is
Resubmitted, the detail panel can also showWhat changed before resubmissionto explain the essential delta between the review baseline and the new version - the detail panel can also show
Supporting evidencewith: - the requirement level (
required, conditional, optional) - the number of attached files
- a warning when required evidence is missing
- a reviewer-side read-only file panel
Expected result
The item leaves the approval queue and the new status becomes visible to both the approver and the user who generated the request.
Operating rules
- approve only items that are consistent with internal policy and submitted data
- if data is incomplete or inconsistent but still recoverable, use
Request changesand explain what must be corrected - use
Rejectonly when the case should be closed negatively - avoid duplicates: HORIS applies guardrails on already submitted workflows
Common errors
- No items in the list
- cause: there are no pending records or your role does not cover that flow
- solution: verify period, filters and role permissions
- The
Filter resultsfield seems inactive - cause: the active-period queue is empty or the current filters return no filtered items
- solution: check the result badge, reset filters, or switch period
- Action not available
- cause: the role can consult the record but cannot approve that record type
- solution: involve the correct higher-level role
- Status not updated after approval
- cause: incomplete refresh or temporary network issue
- solution: refresh the page and check the record again
Request changesis unavailable or fails- cause: the required note is missing or the item is no longer in
Submitted/Resubmitted - solution: add a clear note and reload the queue before deciding
- A
missing required evidencewarning is shown - cause: the workflow requires supporting evidence but no active file is currently available to the reviewer
- solution: do not approve immediately; use
Request changesor follow the tenant internal procedure
Quick troubleshooting
- You see the module but not the timesheet section
- check whether you have the specific timesheet approval permissions
- A rejected request does not disappear immediately
- refresh the list or change tab/status to display the consistent view
- You approved by mistake
- follow the tenant internal procedure; some flows require a corrected re-submission instead of direct cancellation
