Purpose

The billing_admin role governs the tenant commercial perimeter: subscription, billing and authorised reimbursements.

Who should read this

• tenant commercial administration or finance staff
• people who need to oversee subscription, payments and reimbursements without managing full tenant governance

Required permissions

This role can typically access:

• tenant billing
• views and processes compatible with the finance perimeter

The current perimeter excludes:

• Report Admin
• Platform Console

What this role can do

1. monitor tenant plan and subscription status
2. use the Billing module for sync, cancel or resume when the process allows it
3. work on reimbursements and finance views coherent with the role
4. collaborate with owner and tenant admin on economic or commercial cases
5. manage Suspended or Expired tenant cases, where the workspace becomes reduced and Billing is the primary recovery surface

What this role cannot do

• assign roles other than billing_admin and user
• transfer ownership
• manage HR policies or general modules outside the billing perimeter
• administer the global SaaS platform
• access Report Admin

Main workflows

1. review plan, subscription and last payment
2. check authorised reimbursements and commercial data coherent with the role
3. realign commercial drifts with Billing
4. involve owner or tenant admin when the case exceeds the finance perimeter

Common errors

• Confusing tenant billing_admin with platform billing_admin
• cause: the name is similar but the perimeter is different
• solution: this guide only covers the current tenant, not the SaaS control plane

• Access denied on general administrative modules
• cause: this role is not a replacement for tenant admin
• solution: use the allowed finance modules or involve owner/tenant admin

• Access denied on Report Admin
• cause: this role does not receive tenant.reports.hr.read
• solution: involve owner, admin, hr_admin or manager when HR reporting is required
